Freight shipping from Vietnam to Poland can be organised by sea, air, rail via China or a door-to-door combination. The right choice depends on your cargo volume, urgency, destination, customs requirements and total landed cost, not only the international freight rate.

For most commercial shipments, sea freight offers the best cost-to-volume ratio. Air freight suits urgent or high-value goods, while rail may be worth checking for selected cargo and inland European destinations. Before booking, you should also confirm the Polish importer’s EORI number, the applicable EU duty or EVFTA preference, and the documents needed for clearance.

Vietnam and Poland already have substantial commercial links: two-way trade exceeded US$3.2 billion in 2024, according to VnEconomy on 17 January 2025. This creates regular demand for container shipping, air cargo, customs clearance and supporting logistics services.

Ways to ship between Vietnam and Poland

Most cargo between Vietnam and Poland moves by sea, air is used for urgent or high-value goods, rail via China is an option for some inland European destinations, and door-to-door shipping bundles the main transport and customs steps under one contact.

Start by classifying the shipment according to three variables: how much space it occupies, how quickly it must arrive and whether it requires special handling. General cargo can usually move through standard FCL, LCL or air services, while dangerous goods, refrigerated products and oversized cargo require an earlier operational review.

FCL means Full Container Load. You book the use of a container for one shipment, even if the cargo does not physically fill every cubic metre. LCL means Less than Container Load: your cartons or pallets share container space with cargo from other shippers, which can reduce the entry cost for smaller shipments but adds consolidation and deconsolidation steps.

Air cargo is priced using chargeable weight and is normally selected when stock-outs, product launches or high-value goods justify a higher transport cost. Express services are designed for smaller, time-sensitive consignments, while standard air freight is more suitable for commercial cargo that can be consolidated.

Transit times, schedules and rates depend on the exact origin, destination, carrier, routing, season, cargo profile and service level. DocShipper should confirm the current figures for Hai Phong or Ho Chi Minh City to Poland by FCL or LCL, and for Hanoi or Ho Chi Minh City to Warsaw by air, before you commit to a delivery promise.

DocShipper Tips

Request a complete sea freight quote, including port charges, customs, inland delivery and seasonal surcharges.
Compare the total door-to-door cost, not only ocean freight.

Sea freight between Vietnam and Poland

Sea freight containers leave Vietnam through ports such as Hai Phong, Cat Lai and Cai Mep. In Poland, the main maritime options are Gdańsk and Gdynia; some routings use Hamburg or Rotterdam followed by an inland leg to the Polish delivery address.

Vietnam has an extensive maritime network. VietNamNet reported on 7 July 2026 that the country had 34 seaports and 320 berths, while Cai Mep ranked 11th and Hai Phong 13th in the 2025 Container Port Performance Index. The same report cited approximately 18 million TEU of national container throughput in the first half of 2025.

When comparing routes, do not look only at the port-to-port leg. A service arriving at Gdańsk may reduce the inland distance for a Polish consignee, while a routing through a North Sea hub may offer a different sailing frequency, connection or price. The practical comparison is the complete movement from the Vietnamese supplier’s address to the Polish warehouse.

Gdańsk may be reached directly or through a European hub, depending on the current service. Gdynia can also be considered, while Hamburg and Rotterdam may be relevant when the available ocean service and inland transport combination produces a better door-to-door result.

FCL is generally easier to control when the cargo occupies a substantial volume, must remain together or has a predictable shipping schedule. LCL can work for smaller shipments, but you should request a quotation based on the cargo’s precise dimensions, number of packages, gross weight, commodity and ready date rather than comparing only a nominal cubic-metre price.

The freight rate is only one part of the sea shipment cost. The quotation may need to account for origin pickup, export handling, documentation, terminal charges, ocean freight, destination handling, customs clearance, import duties and VAT, inland delivery, insurance and possible storage or inspection costs.

  1. Confirm the supplier’s exact pickup address in Vietnam and the Polish delivery address.
  2. Prepare the cargo details: commodity, dimensions, number of packages, gross weight, packing type and cargo value.
  3. Choose FCL or LCL and compare Gdańsk, Gdynia and hub-based routings where relevant.
  4. Check the Incoterm agreed with the seller, because it determines which party organises transport, insurance, export formalities and import responsibilities.
  5. Review the full quotation, including origin and destination charges, customs assistance, inland delivery and tax assumptions.
  6. Book only after confirming the cargo ready date, document deadline, permitted commodity and expected delivery scope.

Hai PhongVietnamImportant northern Vietnam origin for containerised cargo.
Cat LaiVietnamHo Chi Minh City area gateway for southern Vietnam cargo.
Cai MepVietnamDeep-water gateway serving international container services.
GdańskPolandPrimary Polish option to compare for direct or connected ocean routings.
GdyniaPolandAlternative Polish port, depending on service and inland destination.
Hamburg or RotterdamNorth Sea hubsMay be used with a separate inland leg to Poland.

Cai Mep’s international connectivity is also relevant when reviewing southern Vietnam options. The Vietnam Seaports Association reported on 11 December 2025 that CMIT operated eight direct international services to Europe, the US East and West coasts, the Mediterranean and intra-Asia markets.

Seasonality can affect both production readiness and port planning. B&Company reported on 6 February 2026 that Tet can disrupt production for 20 to 25 days and create congestion at Hai Phong and Ho Chi Minh City ports during the two weeks before the holiday, so your booking should include a realistic supplier and port buffer.

Air freight between Vietnam and Poland

Air cargo normally departs from Noi Bai International Airport in Hanoi or Tan Son Nhat International Airport in Ho Chi Minh City and is routed to Warsaw Chopin Airport, also known as WAW. Air freight is appropriate when the cost of delay is higher than the additional transport cost.

Before requesting an air quotation, provide the gross weight, dimensions of every package, number of pieces, commodity description and cargo value. Airlines and forwarders calculate chargeable weight using the greater of actual gross weight and volumetric weight, so a light shipment occupying significant space may be billed above its scale weight.

Do not confuse standard air freight with express shipping. Express is generally designed around smaller, urgent consignments and a simplified service flow, whereas commercial air freight can be consolidated and combined with customs clearance and final delivery arrangements.

Air cargo may be useful for samples, replacement parts, seasonal stock, high-value products or an initial shipment while a larger replenishment order travels by sea. You should still verify whether the commodity is accepted, whether batteries or dangerous goods rules apply, and whether the final Polish delivery is included in the quoted service.

Air schedules and transit times vary with flight capacity, routing, weekends, security controls, customs and the shipment’s chargeable weight. Ask DocShipper to confirm the current option from SGN or HAN to WAW instead of relying on a generic airport-to-airport estimate.

DocShipper Alert

Rail availability is not guaranteed for every commodity or schedule.
Confirm routing, border handling and final delivery before planning around this option.

Rail freight between Vietnam and Poland

Rail via China can connect selected Vietnam cargo with Poland and may provide an alternative when sea is too slow and air is too expensive. The route is not a universal replacement for ocean freight, so current service availability, border handling, cargo acceptance and final delivery must be checked before you plan around it.

For some shipments, rail can be evaluated as a multimodal route towards Poland and other inland European destinations. The relevant comparison is again door to door: Vietnam pickup, export procedures, rail legs, transhipment or border operations, Polish customs, inland delivery and any handling charges.

Rail may be less suitable when the cargo requires a highly predictable departure, has unusual dimensions, needs temperature control or cannot be accepted under the current service rules. It may also involve more route dependencies than a standard sea booking.

  1. Send the origin, destination, commodity, dimensions, weight and ready date.
  2. Ask whether a current Vietnam-China-Europe rail service accepts the cargo.
  3. Compare the complete rail estimate with sea FCL, sea LCL and air freight.
  4. Confirm the customs locations, documents, transhipment responsibilities and final-mile delivery scope.
  5. Use rail only after the proposed routing and schedule have been confirmed in writing.

Door to door between Vietnam and Poland

Door-to-door shipping combines pickup, export clearance, main transport, import clearance and final delivery under one contract and one contact. It is useful when you want a clear operational owner rather than coordinating a Vietnamese supplier, carrier, Polish customs representative and inland haulier separately.

The service scope must be written carefully. A door-to-door quotation should identify the pickup and delivery addresses, selected mode, customs responsibilities, included handling, insurance position, tax treatment and any exclusions such as storage, inspections, duties or import VAT.

Incoterms 2020 define key responsibilities between the seller and buyer, including transport arrangements, delivery point, risk transfer and certain customs obligations. DAP generally leaves the buyer responsible for import clearance and import taxes, while DDP places more delivery and import responsibility on the seller, subject to the seller’s ability to act correctly in the destination country.

Do not treat DAP or DDP as a substitute for a landed-cost calculation. Confirm who owns the Polish EORI, who will act as importer of record, who pays the duty and VAT, and whether the seller or forwarder can legally and operationally perform the agreed import formalities.

For a door-to-door quote, send the following information:

  • Supplier pickup address in Vietnam.
  • Polish delivery address and consignee details.
  • Commodity description and HS code if available.
  • Number of cartons, pallets or containers.
  • Dimensions, gross weight and cargo value.
  • Preferred shipping mode and ready date.
  • Agreed Incoterm and seller’s commercial invoice details.
  • Any dangerous goods, battery, temperature-control or oversized-cargo information.

Customs clearance in Poland for goods from Vietnam

Imports into Poland follow EU customs rules: the importer needs an EORI number, customs value must be established, the applicable EU tariff or EVFTA preferential rate must be checked, and import VAT is normally due at the standard rate of 23% unless a specific rule applies.

The first practical step is to confirm the Polish importer and its EORI number. EORI means Economic Operators Registration and Identification number. It identifies the business in EU customs procedures and should be arranged before the shipment reaches the import clearance stage.

Next, classify the goods under the correct HS or CN code and verify the measure in EU TARIC. The code determines the customs duty, possible import restrictions, documentary requirements, licensing rules and whether product-specific controls apply. A supplier’s informal product description is not enough to establish the correct classification.

The EU-Vietnam Free Trade Agreement, or EVFTA, may reduce the normal duty for qualifying goods. The preferential rate is not automatic: the goods must meet the applicable origin rules and the importer must hold acceptable proof of origin for the shipment. Check the current conditions through EU Access2Markets and confirm the evidence with the customs broker or the Polish National Revenue Administration, known as KAS.

Import VAT is calculated after the customs value and duty have been established. The exact tax base can also depend on relevant transport, insurance and other costs under the applicable rules, so the formula below is a planning framework rather than a substitute for a customs assessment.

  1. Confirm the Polish importer’s EORI and customs representation arrangement.
  2. Identify the correct HS or CN classification and check the product measures in EU TARIC.
  3. Establish the customs value, normally based on the transaction and relevant transport or insurance elements under EU rules.
  4. Check the standard EU duty and then verify whether EVFTA preferential treatment is available.
  5. Collect and validate the proof of Vietnamese origin before claiming the preference.
  6. Calculate the duty on the applicable customs value.
  7. Calculate import VAT at the applicable rate. The standard Polish rate is 23%, subject to product-specific rules.
  8. Submit the declaration, pay or account for the required amounts, and release the goods for inland delivery.

Duty and VAT calculation method:

  • Customs value or CIF basis: use the verified customs value for the shipment.
  • Import duty: customs value multiplied by the applicable EU or EVFTA duty rate.
  • VAT base: customs value plus import duty and any other elements required under the applicable VAT rules.
  • Import VAT: VAT base multiplied by the applicable rate, normally 23% for the standard Polish rate.
  • Total landed import amount: customs value plus duty plus import VAT, before adding any separately quoted logistics or clearance charges.

Because the brief does not provide a shipment value or product-specific duty rate, a numerical tax total would be misleading. The correct line-by-line calculation must use your verified customs value, HS code, origin evidence and current tariff measure.

Restricted or controlled products require additional review before booking. This can include dangerous goods, batteries, food, cosmetics, medicines, plants, animal products, products subject to conformity requirements and goods protected by intellectual property rules. Send the exact product description and composition early, rather than after the cargo has been packed.

Customs clearance can be delayed by an incorrect HS code, inconsistent invoice and packing list, missing origin evidence, an incomplete EORI, an undervalued transaction or a product requiring a permit. A forwarder can coordinate documents and clearance support, but the importer remains responsible for providing accurate commercial information.

DocShipper Alert

Prepare customs data before departure, including EORI, HS code and origin evidence.
Missing or inconsistent documents can delay release and increase landed costs.

DocShipper Tips

Build the logistics package around your needs.
Combine consolidation, inspection, insurance, sourcing or quality control for better shipment coordination.

Additional logistics services

Warehousing, packing, cargo insurance, sourcing and quality control in Vietnam can complete a Vietnam-Poland shipment. These services are particularly useful when the importer is buying from several suppliers, needs consolidation before export or wants to check the goods before the transport booking is finalised.

Origin warehousing and consolidation can bring shipments from different Vietnamese suppliers together before an LCL or FCL departure. Packing support can help adapt cartons, pallets or export packaging to the selected mode, although the required specification depends on the commodity and handling risks.

Cargo insurance should be evaluated separately from carrier liability. Ask what risks, exclusions, deductible and declared value apply, and confirm whether the policy covers the full route or only the main transport leg.

Sourcing and quality control can be arranged before freight movement where the shipment also involves supplier identification, product checks or conformity work. FNM/DocShipper reports more than 6,100 clients, 9,200 operations, 600 sourcing projects and 700 quality-control and conformity projects through its counters and operations.

For a complete quotation, combine logistics data with the commercial objective. Tell us whether you need only port-to-port freight, customs clearance, inland delivery, insurance, supplier coordination, inspection or a complete door-to-door service.

Conclusion

Choosing freight shipping between Vietnam and Poland is mainly a decision about urgency, volume and landed cost. Sea freight is the starting point for most commercial cargo, but air, rail via China and door-to-door services can be more appropriate in specific situations.

  • Compare sea FCL and LCL through Gdańsk or Gdynia, while also checking North Sea hub routings with an inland leg.
  • Use air freight from Noi Bai or Tan Son Nhat to Warsaw for urgent or high-value cargo, based on chargeable weight.
  • Consider rail via China only after confirming current availability, routing and final delivery conditions.
  • Arrange door-to-door transport when you need one coordinated contact for pickup, freight, customs and delivery.
  • Prepare the Polish EORI, commercial documents, classification and origin evidence before the shipment arrives.
  • Check the standard import VAT rate of 23% and verify whether EVFTA preferential duty applies to the goods.

The booking may need to be rolled to a later departure, which can result in cancellation fees, missed connections or additional storage charges. Ask the supplier to confirm the cargo-ready date before booking, and keep a buffer for production delays, especially around Tet. Do not promise a delivery date until the cargo, export documents and vessel or flight space are all confirmed.
